Record the event without choosing a cause
Write down when water was first observed, the rooms involved and whether the event coincided with rain or indoor water use. Keep photographs you can take from a safe location with the record. Do not enter standing water or open an assembly to improve your report. An observation such as water near a drain is useful; a conclusion such as a failed public sewer needs investigation.

Its guidance distinguishes this from immediate reporting of street flooding and sewer backups. Use the current official city instructions for the appropriate reporting channel; do not treat questionnaire submission as an emergency response or a commitment to repair your property.

Give the assessor a separate room list
For a cleanup discussion, name the affected rooms, access restrictions and the status of any known source repair. Ask which spaces and materials will be assessed, what the visit includes and what conditions could limit access. Keep the city reference number in your notes, but ask the responding business to identify its own assessment and cleanup responsibilities. The business should state whether source investigation, water removal, monitoring, contents handling and rebuilding are included or separate. Track decisions in separate records

Record who will answer each question and how you will obtain the answer. This prevents a pending city response from being confused with a completed private assessment.
